An introduction to QuickBooks Online for South Africa

What it is and who it is for

QuickBooks Online is the cloud accounting product from Intuit, the company behind a long line of QuickBooks software. The South African site presents it for small businesses that want to send invoices their customers can pay online, track VAT, keep expenses sorted and stay in sync with time tracking and payroll.

What you get

Intuit highlights invoices you can create from handwritten notes, PDFs, photos and forwarded emails, online payment of invoices, VAT tracking and tax return preparation with error checking, bank feeds, expense sorting, inventory with purchase and sales orders, and a mobile app. It says QuickBooks connects with hundreds of integrations, naming PayPal, Square, ServiceM8 and Dext.

  • Invoice capture from photos, PDFs and forwarded emails
  • VAT tracking and tax return preparation with error checking
  • Bank feeds on every plan
  • Inventory, purchase orders and sales orders from Plus
  • A mobile app and hundreds of integrations

South African fit

Support is the standout. The page says phone support is free and included with a paid subscription, that live chat is available around the clock and that experts run free setup sessions. A South African support number is published on Intuit's pages. The VAT tools are described in general terms, and the page does not list which South African banks are supported, so ask which of your accounts will connect.

What each plan adds

The ladder is by users and by what the plan adds.

  • Simple Start: one user, plus access for your accountant
  • Essentials: three users, multiple currencies and bill management
  • Plus: five users, inventory, projects and purchase orders
  • Advanced: twenty five users, custom reports and workflow automation

Strengths and limits

Strengths

  • Free phone support with a paid plan, round the clock live chat and a free onboarding call
  • A clear ladder of four plans, from one user up to 25
  • A 30 day trial, no contract and no cancellation fee
  • Bank feeds on every plan, and invoice capture from photos, PDFs and forwarded emails
  • A launch offer of 90 percent off for six months

Limits

  • The page does not say whether VAT is included in the prices
  • The page does not list which South African banks connect
  • Less common among South African bookkeepers than Xero or Sage
  • Multiple currencies start on Essentials

Who it suits

Best for

  • Small businesses that value free phone support and a free onboarding call
  • Growing teams that may need more than three users or inventory later
  • Businesses that want a clear ladder of plans in one product

Think twice if

  • You need to know whether VAT is in the price, because the page does not say
  • You need multiple currencies, which start on Essentials
  • You want a large South African accounting community, where Xero and Sage are more common

In short

A credible option, especially if free phone support and a plan ladder up to twenty five users appeal. Confirm the VAT basis, and ask which of your banks connect before you start the trial.
