At a glance

Xero is a New Zealand company's cloud accounting product, sold in South Africa on rand plans that include VAT: Starter at R450 a month, Standard at R795 and Premium at R1 095. It offers a 30 day trial and 80 percent off the first three months for new South African customers. Starter is capped at 20 invoices and five bills a month, so most trading businesses end up on Standard, and Xero says its subscription prices increase from 1 November 2026.

Pricing in rand

Xero lists 3 priced plans: Starter at R450, Standard at R795, Premium at R1 095. Every figure is shown in rand.

The vendor states a VAT basis, so both footings are known: Starter is R450 including VAT, R391.30 excluding VAT. A business registered for VAT claims the VAT back, so the figure excluding VAT is its real cost.

New South African customers get 80 percent off the first three months. Xero says its subscription prices increase from 1 November 2026. Expense claims start at R69 and project tracking at R120.75 a month.

A South African fashion business and how it runs on Xero

What it is and who it is for

Xero is a cloud accounting platform for small businesses and the accountants and bookkeepers who serve them. Its South African pages emphasise getting paid faster through online invoice payments, SARS compliant tax invoices, VAT returns prepared inside the product and automated bank feeds.

What you get

  • Online invoice payments and automatic reminders
  • Smart Document Capture for receipts and bills
  • 30, 60 or 180 day cashflow forecasts depending on plan
  • A free mobile app for iOS and Android
  • A directory for finding an accountant or bookkeeper who uses Xero

South African fit

Xero's page promises automated VAT calculations, VAT returns prepared in line with SARS requirements and reminders for VAT deadlines. It connects to FNB, Absa, Standard Bank, Nedbank and other major banks through bank feeds. Separately, press releases from Xero and Nedbank describe a fully digital, API enabled Nedbank feed, and Xero has announced a similar feed with Investec, which are direct, API based connections rather than file uploads.

Xero says support is available around the clock. The page does not publish a South African phone number, so if phone support matters to you, ask before you buy.

Where it falls short

The Starter cap is the main catch, because a business that issues more than twenty invoices a month has outgrown the cheapest plan on day one. The jump from R450 to R795 for unlimited invoices and bills is the real entry price for many firms. There is also no built in payroll and no free plan.

How it compares

Against Sage Accounting, Xero costs more but has a larger marketplace. Against Zoho Books, it costs much more, and Zoho offers a free plan and local phone support. Against QuickBooks Online, the two are close in ambition, and QuickBooks advertises free phone support. Read the full comparisons for how those trade offs fall.

What each plan adds

Xero's plans differ by volume, forecasting and currencies, not by whether the core accounting is there.

  • Starter: quotes, 20 invoices and 5 bills a month
  • Standard: the invoice and bill limits lifted, bulk reconciliation and a 60 day cash flow forecast
  • Premium: multiple currencies, KPI analysis and a 180 day cash flow forecast
  • Expense claims from R69 a month and project tracking from R120.75 a month are priced as extras

Strengths and limits

Strengths

  • A polished product with a large app marketplace, including PayFast, Yoco and SimplePay
  • Rand pricing including VAT, a 30 day trial and 80 percent off the first three months
  • Bank feeds with FNB, Absa, Standard Bank and Nedbank, plus API feeds with Nedbank and Investec
  • A free iOS and Android app on every plan
  • Round the clock support is promised

Limits

  • Starter is capped at 20 invoices and five bills a month, so most firms need Standard
  • No built in payroll and no free plan
  • The page publishes no South African phone number
  • Multiple currencies only come with Premium
  • Xero says its subscription prices increase from 1 November 2026, and the new figures are not published

Who it suits

Best for

  • Small businesses that want a polished product with a large app marketplace
  • Businesses that bank with FNB, Absa, Standard Bank, Nedbank or Investec
  • Firms that work closely with an accountant or bookkeeper who uses Xero

Think twice if

  • You send more than twenty invoices or enter more than five bills a month, because Starter is capped
  • You want phone support included, because the page promises round the clock help but names no phone line
  • You need multiple currencies, which only the Premium plan includes

In short

A strong product that suits businesses that value polish, integrations and an accounting community that already uses Xero. Budget for Standard rather than Starter, ignore the three month discount when you compare, and confirm how your payroll app connects.
